Sports Presentation
As well as delivering a quality activity, it is important that it is well presented so that people can understand and enjoy it. Equipment There are a few things that can be useful in helping to build the atmosphere around an event including: Speakers Microphone – to make announcements and/or commentary Music playing device (e.g. laptop/tablet/phone) It is worth considering a few things prior to the event to make sure you can use these things effectively: Where will they be positioned and do you need access to power, connectivity or shelter from the weather? Make sure there is access to…
On The Day
Ideally on the day of an event, as an organsier your role will be to oversee the event and to ensure that everything is going to plan. There will always be situations that need to be managed during the day so being available to deal with them is useful if possible. If the planning has gone well, there’s a good team of people supporting the event and there aren’t too many issues that occur, then you may actually feel like you aren’t too busy during the day but don’t worry – that’s often a sign that everything’s going well! During…
Spectators
The majority of events will have some element of spectator involvement, whether that’s a couple of parents who are there while their children participate or significant numbers of people. Ticketing For the very biggest events you may look to sell tickets for people to spectate but on a smaller level there may be other elements of ticketing that could be useful. For club functions, or social elements of an event (e.g. a party in the evening) then selling tickets will help to gauge the numbers of people who are planning to attend, which will help with catering numbers and managing…
Participation Interaction
It’s really important that you communicate with participants effectively. Not only will this help to enhance their experience but it will also make the event run more smoothly from an organiser’s perspective. Sign-Up/Entry Processes For some events you may not need a sign-up process that operates in advance. If it’s a club activity or something that people can just turn up and take part in, then it may not be necessary. You may, however, wish to get an understanding of how many participants you will have at the event, this will allow you to: Confirm any competition or activity schedule…
Marketing and Promotion
The marketing and promotion of any event is essential in making sure members, potential participants and the wider public are aware of the event. Building awareness and excitement for your event can help to attract people to it as well as providing longer term benefits such as increasing your attendance at future events or the number of members within your club. There are a variety of marketing options available and it’s worth spending time exploring the benefits and limitations of these before deciding on the best ways to promote your event. In the past, more traditional marketing has been effective…
Finance
The principles of finance and budgeting are the same no matter how big or small the event is. It is important before you commit to running an event that you understand the likely expenditure and potential income streams. Some events are run to make a profit whilst others will need financial investment. If you are running an event through a club, a Regional Development Team or a Discipline Committee, financial policies and procedures probably already exist, e.g. a requirement for two signatures on any payment. It is important to identify at an early stage who has the authority to authorise…
Environment
We all have a responsibility for our environment. It is important that from the outset you consider any measures you can put in place to make the event sustainable and minimise the impact on the environment. Some of these measures may also save money for the event but if there are additional costs then you’ll often find that paddlers are prepared to pay a little extra if they know that it’s to support the environment. Environmental Considerations There are a number of ways that you can reduce the environmental impact of your event. Some of the ways that you can…
Venues and Facilities
This section provides a basic overview of things you may wish to consider on site during an event. If you are running a larger event then there is significantly more detail available on www.thepurpleguide.co.uk. The website requires a subscription which can either be gained by the club or if you have a specific question then the Paddle UK events team have a subscription and will be happy to pass on the relevant information.
